Organized Chaos - Move In Day Procedure and Schedule

Residence Life works to make Move In Day a success for everyone by providing a Move In schedule and some tips for the day.

What is the basic move in process? | How can you make move in easier: students, family/friends |What the college is doing to make move in day easier.

What’s the basic move in process?

  1. ONLY students go through the check-in line, fill out forms, and pick up room key(s).
  2. Students & families drop off their belongings on the curb. One person stays with the belongings, while the others move them to the room. Remember, we’re in the city, so vast areas of open parking are not available.
  3. Some students choose to park and walk their belongings to the room.

Students

  1. BE PREPARED. READ our information and follow those instructions.
  2. Contact your new roommate(s) using information provided on Cougar Trail and your assignment letter. Decide who will bring what to avoid duplication.
  3. Come at or during your assigned time. You cannot check in before your assigned time. If you check-in even an hour after your beginning time, you’ll move in much easier.
  4. Have your CofC ID or DRIVER’S LICENSE ready. You will get your ID during your orientation session.
  5. Check in is more than just picking up your key. You'll be asked to read, fill out and sign a few forms before you can get your key and move in your belongings.
  6. Have your health insurance information available. You will need to provide health insurance information on your emergency card when you arrive.
  7. Leave your parents and family members at the door. Only you can sign yourself in to your building. Once you’ve filled out the papers and gotten your key, then enlist their help to move in your belongings.
  8. BE PATIENT. We do our best to keep things moving but the truth is that move in day will be very busy and can be stressful. August is hot, and you’ll be excited about moving in. Keep a cool head and be patient.

Families/Friends

  1. BE PATIENT. Move in day is busy for everyone. We try our best to keep things calm and easy, so your patience is appreciated (by our staff, and your student)!
  2. Let your student check in for him or herself. This is an important way to start them on their way here at CofC.
  3. Be supportive. Believe it or not, your student will be under some stress, be supportive of him or her.

College of Charleston, Residence Life Staff

  1. We’ve planned and trained for this day for months. We have developed our move in process to reduce the rush of traffic jams. By separating move in time by floors and buildings, lines will be shorter and move in will be easier for everyone.
  2. We’ll have our staff on hand to help speed up the process. We’re all here to answer your questions too.
  3. Public Safety will help direct traffic and show you where to park. Don’t forget your parking pass sent in the mail in late summer!
  4. College and community organizations will be volunteering to help carry belongings and give directions as well as provide a cool glass of water or lemonade.
  5. We are here to be supportive of students and families. Please see us if we can assist you!

Mail Pick-up

Students may apply for a student post office box by contacting Mail Services at (843)953-5534.

Make sure to have your Student ID number and residence hall assignment handy when calling.


Mail is delivered daily, except Saturdays, Sundays and holidays.

Visitation

Definitions
Visitation: A residents's guest in a residence hall.

24/7: 24 hours a day, 7 day a week.

Guest: A non-resident of a student residential facility, and/or student apartment, and/or student suite, and/or student room.

Host: Resident of a student residential facility, student apartment/student suite/student room, "hosting" a guest.

Sign-in: Registering of guest's name and signature, along with the presentation of the guest's photo identification.

Roommate/Suitemate Agreement: Document signed by all members of a student apartment, and/or student suite, and/or student room.

Area Coordinator: The Residence Life and Housing professional staff person responsible for the general day to day management of the residence halls in a specific area of campus.

All on-campus residential facilities have 24/7 visitation privileges. Residents are responsible for the actions of their guests. If guests violate the visitation policy, the resident may be subject to judicial sanctions.


Guest Visitation
  With 24/7 Visitation residents can host guests at any time in public areas of his/her residential facility. All guests must sign-in at the front desk.

The parameters for the housing of guests in a student apartment/suite/room are subject to the provisions set forth in the Roommate/Suitemate Agreement developed by the particular residents. If a Roommate/Suitemate Agreement is not in force, the wishes of the roommate(s) objecting to a guest visitation will prevail.

The overnight guest policy, as written in this document, supersedes any and all agreements entered into by the residents of a student apartment, student suite, or student room.


Overnight Guest Policy
  Overnight guests are permitted to stay in a resident's room/suite/apartment under the following provisions:
  1. Persons under 16 years of age may not be overnight guests at anytime without the written permission of the appropriate Area Coordinator.
  2. The resident host must be with his/her guest at all times during stay. The host will assume all responsibility for his/her guest's actions. Guests will be expected to adhere to the same policies as resident students. Failure to do so may result in disciplinary action against either/or both the host and the guest. In any event, until a determination has been made as to the status and outcome of an alleged violation, a host's and/or guest's visitation privleges may be suspended.
  3. All roommates MUST mutually agree to have overnight guests/visitors in the apartment/suite/room.
  4. Unless a resident seeks prior written permission from the appropriate Area Coordinator, overnight hosting privileges, within his/her apartment/suite/room, extend to no more than two consecuitive nights.
  5. Unless otherwise approved, a guest's visitation privileges, regardless of the host, extend to no more than two consecutive nights.
  6. A resident's overnight hosting privileges, within his/her apartment/suite/room, as well as any guest's overnight visitation privleges, within a residential facility, extend to no more than five nights in any calendar month.
  7. Students are reminded that lounges may not be used as sleeping areas and that a guest may be required to leave if his/her behavior is deemed inappropriate by the Residence Life and Housing staff or Public Safety. Violations of the Visitation/Guest Policy may result in the termination of guest privileges.

Sign-in Procedures
  All residential facilities with Information Desks staffed 24 hours a day are subject to the following procedures:
  1. All guests must be registered at the front desk. Residents must leave their valid CofC ID at the desk. Guests must show a picture ID: CofC ID, military ID, passport, or state issued license or ID are the only IDs accepted; forms of identification from other Colleges, Universities, and places of employment will not be accepted. The Desk Assistant will record the necessary information.
  2. Only residents of the building are allowed to check guests in.
  3. The host must escort guests at all times.
  4. Guests must be signed in/out of the residence hall each time he/she enters or leaves.
NOTE: While residents in facilities without 24 hour front desks are not subject to signing-in, residents and their guests in those facilities must adhere to all other visitation policies.

Security

The top priority of Residence Life and Housing is the safety and security of our residents and staff.

All residential facilities (except historic houses) have one point of entry/exit either locked or monitored by a Residence Life and Housing (day-evening) or Public Safety (midnight-morning) desk attendant at all times. In the event of required evacuation, additional exit points open upon activation of our alarm system, automatically notifying CofC Public Safety. Conversely, all entry/exit points can be "locked down" if required.

Digital security camera systems record activity in key public areas of all residence halls, outdoor perimeters and building entrances/exits. Oversight terminals to view camera recordings in/around each residence hall are located at their respective security/reception desks and in Public Safety's headquarters. All motion and audio are recorded in these areas with live relay to Public Safety.

In addition to electronic means, all residence halls and historic houses are regularly monitored on foot by Public Safety officers. The Public Safety Office also provides personal escorts by foot or car for students walking across campus during the evening and late night hours.

Safety and security is a community effort. We welcome reports of suspicious activity or suggestions for improvement from residents, staff, students, parents and neighbors. Therefore, emergency call boxes have been installed throughout the campus. These boxes can be used to request assistance and to report suspicious or dangerous activities 24 hours a day.

CofC Public Safety may be reached every day at all hours by calling 843-953-5611 for emergencies and 843-953-5609 for non-emergencies.

Model Rooms

To give the student an idea of what to expect on move in day, Residence Life provides model rooms during the summer in most of our major residence halls. The rooms will open in late May and will close in mid-August. To view these rooms, a key is available to check out at the front desk of the residence hall. Model rooms are not available in historic houses.

In this information you will find communication tips, general expectations for roommate relationships, discussion questions, and a roommate contract.

Read over this information, then together with your roommate(s) answer the discussion questions.

After discussing each topic thoroughly, complete the contract, sign it, keep a copy for yourself, and return the top copy of the contract to your RA by the first day of classes.
